Job description

As an Accounts Payable Coordinator at our Head Office in Enderby, you will play a key part in keeping our business moving forward smoothly.

Working within the Finance and Operations team, you will take ownership of accurate and timely payment runs, manage vital supplier accounts, and maintain dependable financial records. Retail moves at pace, and this position offers a clear opportunity to collaborate across teams, solve day-to-day challenges, and ensure our financial processes remain robust and compliant.

  • Prepare and process accurate payment runs to make sure suppliers receive timely disbursements.
  • Monitor invoice approval timelines, escalating pending items to departmental managers to prevent delays.
  • Build and maintain positive working relationships with suppliers and internal teams to resolve queries collaboratively.
  • Complete month-end reconciliations between accounts payable sub-ledgers and the general ledger, documenting balances clearly and on schedule.
  • Maintain the Goods Received Not Invoiced (GRNI) account, collaborating with colleagues and suppliers to clear aged items.
  • Review invoices to ensure strict compliance with internal policies, purchasing procedures, and HMRC regulations, including VAT.
  • Carry out regular reconciliations of supplier statements against internal company records.
  • Maintain organised, accessible digital and physical records to support audit requirements and retention policies.
  • Spot opportunities to improve everyday workflows and share practical ideas that make daily processes simpler and more efficient.
  • Support the Accounts Payable leadership team with ad-hoc projects when needed.

  • Attention to detail: High accuracy in numerical data processing, reconciliation, and record management.
  • Relevant experience: Prior experience in an Accounts Payable or finance administration role is ideal, but not essential, giving you a working knowledge of invoice processing and account reconciliation.
  • Effective organisation: The ability to prioritise tasks, manage high volumes of work with ease, and consistently meet deadlines.
  • Analytical thinking: A thoughtful approach to examining data, spotting patterns or root causes, and finding practical solutions.
  • Resourceful mindset: Proactive problem-solving skills paired with the curiosity to learn new systems and ways of working.
  • Clear communication: Warm, respectful, and professional verbal and written communication when speaking with colleagues and suppliers.
